Mail Center

Physical mail is still how some of this has to go, and it is still an afternoon of somebody’s week. Compose from the client record, send the batch, and the tracking comes back to the client it went to.

What it does

  • The classes that actually matter, certified included
  • Addresses validated before anything prints, not after it comes back
  • Your letterhead on it
  • Batches sent from the client record, so the mail lands back on the client
  • IRS notices read, tracked, and answered from their own place

How it works

Certified, and certified with return receipt

First class and both certified options. Standard class is deliberately not offered, because it is not what any of this is for. Pricing bands by sheet count, and a piece that falls outside one tells you which limit it hit rather than just refusing.

A bad address is a row to fix, not postage to pay twice

Addresses are checked against real deliverable codes before the batch runs. You correct it on screen instead of finding out three weeks later when it comes back.

  • Batch review with spot-check rules before approval
  • Page and sheet counts resolved per piece
  • Tracking recorded back against the client for certified mail

On your letterhead, not ours

Design it once — header, footer, margins, your logo — and it lands on letters, engagement letters and mailed organizers alike.

The notice, read and turned into a case

Scan it and the fields come out into a case: notice code, date, period, proposed amount. Copied exactly as printed and never computed, inferred or tidied up — anything it could not read with confidence is flagged for a human rather than guessed. On an IRS notice a helpful guess is the worst possible feature.

Questions

How is postage billed?
Per item, separately from your seats, against a funded balance you top up.
Can we mail organizers in bulk?
Yes — pull them from your tax software, match them to clients, and approve the whole run at once.
