Organizers

The organizer is the part of the season that goes quiet: sent in January, chased in March, half of them still missing. This one shows you how far each client has got — and the answers arrive next to the documents they came with, on the engagement.

What it does

  • Templates per engagement type, so a 1040 and an 1120-S do not ask the same questions
  • Clients fill it in from the portal, and you can see how far they are
  • Questions that hide themselves when they do not apply to that client
  • Answers land beside the documents, on the engagement, not in an inbox

How it works

It stops asking about the rental they do not have

Answer no to rental property and the eight questions behind it never appear. The organizer shapes itself around what the client has already told you, which is most of why they finish it.

  • Conditional sections and fields, grouped into rules
  • Validation on the field, so a malformed answer is caught before it is submitted
  • Documents attach to the question that asked for them

Marked sent is not the same as actually sent

The two are tracked separately, deliberately. Nobody should conclude a client has been contacted because a status somewhere says so — that is how a client gets chased in March for something they were never asked for.

The answers know which tax line they feed

Questions are annotated to the lines they belong to, which is what lets a returned organizer be read as a working paper rather than retyped off a form. The same vocabulary drives the trial balance mapper.

And the clients who will only do paper

Pull the organizers out of your tax software and send the whole lot as physical mail, matched to clients, approved as one batch. Every firm has forty of these clients and they are not changing.
